The Core Church Commitment

These Terms of Service govern your church's use of Check Into Church. In summary: You own your data completely. We provide the operational platform (check-in kiosks, directories, schedules, and giving ledgers), and your church remains the shepherd and custodian of its ministry protocols, volunteer screening, and member relationships.

01.Agreement to Terms

These Terms of Service ("Terms") constitute a legally binding agreement between Check Into Church, Inc. ("Check Into Church," "we," "us," or "our") and the church organization, religious society, nonprofit ministry, or entity ("Church Organization") creating an account or accessing our services, along with all authorized pastors, staff, volunteers, and congregants ("Authorized Users").

By registering an account, requesting private beta access, accessing our website, or using check-in kiosk terminals, you agree that you have read, understood, and agreed to be bound by these Terms and our Privacy Policy.

02.Authority & Organization Accounts

The individual registering on behalf of a Church Organization represents and warrants that they are an authorized officer, pastor, elder, director, or staff member with full legal power and authority to bind the Church Organization to these Terms.

The Church Organization is solely responsible for all activities occurring under its account, including the actions of staff and volunteers assigned administrative roles (`ADMIN`, `PASTOR`, `COORDINATOR`, `VOLUNTEER`).

03.Church Data Ownership & Stewardship

100% Uncompromised Data Ownership

As between you and Check Into Church, the Church Organization retains sole and exclusive ownership of all right, title, and interest in and to all Church Content, including member directory records, family affiliations, financial tithing data, pastoral notes, and uploaded logos.

You grant Check Into Church a limited, non-exclusive license solely to host, backup, transmit, and display Church Content as strictly necessary to operate the platform on your behalf. We will never sell, license, or monetize your congregation's information.

04.Child Check-In & Physical Safety Disclaimer

Check Into Church provides child check-in software, kiosk modes, and security code tag generation designed to assist churches with safe Sunday logistics. However:

  • Physical Supervision: The software is an administrative tracking tool, not a substitute for trained adult supervision, child-to-worker ratios, nursery safety policies, or facility physical security.
  • Volunteer Screening: The Church Organization remains exclusively responsible for conducting background checks, reference checks, safety training, and vetting of all childcare workers and volunteers.
  • Guardian Verification: Nursery staff must physically verify matching security tag codes before releasing any minor child to an adult. Check Into Church is not liable for unauthorized child release resulting from human error or failure to check physical security tags.

05.Giving & Stewardship Record-Keeping

Check Into Church provides financial record-keeping and stewardship ledger tools to help churches track incoming contributions, monitor designated fund allocations, and generate donor contribution statements. Check Into Church is not a payment processor, money transmitter, or financial institution.

  • Record-Keeping Role: The software acts exclusively as a general stewardship ledger for contributions entered manually (cash, checks, offering envelopes) or imported from external processors. Check Into Church does not hold funds, process payment transactions, or debit bank accounts.
  • Zero Platform Transaction Cuts: Check Into Church charges 0% transaction fees on recorded gifts. Any merchant processing fees incurred through third-party services (e.g. your church's external card processor or bank) are handled solely between your church and that third-party provider.
  • Charitable Tax Statements: The Church Organization is solely responsible for determining whether contributions qualify as tax-deductible charitable gifts under applicable tax law (such as IRS 501(c)(3) guidelines) and reviewing the accuracy of all donor statements prior to distribution.

06.Private Beta Access Program

If your church participates in our Private Beta Program:

  • You acknowledge that features may be released, updated, and refined iteratively as we gather pastoral feedback.
  • All congregation data, check-in records, and giving ledgers created during beta testing persist permanently into general platform release.
  • Churches invited into private beta lock in founding partner rates and direct engineering support.

07.Subscriptions & Pre-Beta Access

Check Into Church provides church management software with predictable, transparent subscription pricing and pre-beta partner access:

  • Pre-Beta Partner Cohort: Selected ministry partners admitted to the early pre-beta cohort receive complimentary early onboarding and locking in founding partner benefits.
  • Billing Cycles: Upon general release, subscriptions are billed in advance on either a monthly or annual basis. Annual subscriptions receive approximately a 20% discount.
  • Cancellation: Church administrators may cancel their subscription at any time. Cancellation takes effect at the end of the current billing cycle.

08.Acceptable Use & Prohibited Conduct

You agree not to misuse the Platform. Specifically, you may not:

  • Use email broadcast tools to transmit unsolicited commercial spam or violate CAN-SPAM regulations.
  • Attempt to reverse engineer, decompile, or extract the source code of the Platform.
  • Bypass rate limits, security tokens, or attempt unauthorized penetration testing without prior written permission.
  • Harass, threaten, or impersonate other church staff, members, or organizations.

09.Disclaimer of Warranties & Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. CHECK INTO CHURCH DISCLAIMS ALL IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

IN NO EVENT SHALL CHECK INTO CHURCH BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, DATA, USE, OR GOODWILL. OUR TOTAL AGGREGATE LIABILITY SHALL NOT EXCEED THE TOTAL AMOUNT PAID BY YOUR CHURCH ORGANIZATION IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.

10.Termination & Data Retrieval

Either party may terminate this agreement at any time. Upon termination:

  • The Church Organization will have a 30-day grace period to export all member directories, financial statements, and attendance records via standard CSV exports.
  • After the 30-day retrieval period, Check Into Church will securely erase all Church Content from active production databases in accordance with our Privacy Policy.
